Privacy Notice

This privacy notice sets out our commitment to protecting personal data and how we implement that commitment with regards to the collection and use of personal data.

The data we collect

We only collect relevant personal data about you which is required to provide you with the service you have requested. Such data might include, but is not limited to:

Identity Data: your first and last names.
Contact Data: email address, home and/or business address, telephone numbers.
Case Specific Data: any information or documents provided by you for the purposes of facilitating the mediation.

The purposes of collecting this data

Performance of our contract with you: In order to provide you with mediation we need to know your basic personal data in line with relevant legal and regulatory obligations we have. We will not collect any personal data from you that we do not need in order to provide this service to you.

Legitimate interests: In the event of outstanding payment, to recover any fees owed to us.

Disclosure of your personal data

Staff and contractors of City Mediation will have access to your personal data, either for administrative purposes or because they are directly involved in your case. We will ensure that they are fully aware that they must treat that information as confidential and that they know their responsibilities in relation to data protection.

We will securely store your data. No unauthorised third parties will have access to your personal data unless the law allows them to do so. We will not use your data for marketing purposes and we will not share your data without your written consent.

Your basic data (name, address etc) in the form of a contract or invoice will be kept for a minimum of 5 years, in line with HM Revenue and Customs tax regulations.

All other documents provided to City Mediation by parties before or during the course of a mediation will be securely destroyed at the conclusion of the mediation.

Your legal rights

You have the right to see what personal data of yours we hold and you can also ask us to correct any factual errors. Provided the minimum legal period has elapsed, you can also ask us to erase your data.

We want you to be absolutely confident that we are treating your personal data responsibly. If you feel that we are mishandling your personal data in some way, you have the right to complain. Complaints need to be made in writing to the Data Controller:
